Privacy, Safeguarding & Conduct Framework

1. Purpose & Scope

The Qutors Program is committed to ensuring the safety, dignity, and privacy of all students while delivering high-quality academic support. This framework establishes the standards for:

  • Child protection and safeguarding

  • Staff conduct and ethical behavior

  • Data privacy and confidentiality

  • Reporting and accountability

This policy applies to all Qutors staff, tutors, administrators, contractors, and affiliated partners.

2. Acknowledgment & Compliance

All personnel must formally acknowledge that:

  • They have read and understood the Code of Conduct and Child Protection Procedures Manual

  • Compliance is a condition of employment and engagement

  • Violations may result in disciplinary action, including termination

3. Safeguarding & Child Protection Principles

Qutors operates under a zero-tolerance approach to abuse, neglect, or exploitation.

3.1 Core Safeguarding Standards

All staff must:

  • Treat every student with respect, dignity, and fairness

  • Ensure visibility and accountability in all interactions (no isolated engagement without oversight)

  • Maintain professional boundaries at all times

  • Use positive reinforcement methods in teaching

  • Avoid any conduct that could be perceived as inappropriate or exploitative

4. Staff Code of Conduct

4.1 Required Behavior

Staff must:

  • Act with integrity, patience, and professionalism

  • Ensure all sessions are transparent and, where possible, observable

  • Use approved communication channels only

  • Immediately report any safeguarding concerns

4.2 Prohibited Conduct

Staff must not:

  • Engage in inappropriate physical or verbal behavior

  • Use harmful disciplinary practices (physical or emotional)

  • Communicate privately with students outside approved platforms

  • Provide transportation or meet students outside authorized settings

  • Exchange gifts without parental/guardian approval

  • Be under the influence of substances while working

5. Digital Privacy & Communication Policy

Given Qutors’ hybrid and tech-enabled model, this is critical.

5.1 Approved Communication Channels

  • All communication must occur through Qutors-approved systems (e.g., official WhatsApp Business, platform messaging, or school email)

  • Personal accounts are strictly prohibited

5.2 Data Protection

Qutors commits to:

  • Collecting only necessary student data (name, academic level, contact details)

  • Ensuring data encryption and secure storage

  • Limiting access to authorized personnel only

  • Never sharing student data with third parties without consent

5.3 Session Privacy

  • Online sessions may be monitored or recorded for safeguarding and quality assurance

  • Parents/guardians must be informed of this policy prior to any recordings 

6. Mandatory Reporting & Escalation

All staff are legally and ethically obligated to report concerns.

6.1 Reportable Concerns

  • Suspected abuse or neglect

  • Inappropriate behavior by staff or students

  • Breaches of safeguarding or privacy

6.2 Reporting Protocol

  1. Report immediately to the Qutors Safeguarding Lead

  2. Escalate to relevant authorities or Qatar Foundation safeguarding channels where required

  3. Maintain confidentiality—do not investigate independently

7. Recruitment & Background Checks

To ensure safety:

  • All staff must undergo background verification and vetting

  • References and qualifications must be validated

  • Safeguarding training is mandatory before engagement

8. Training & Awareness

Qutors ensures continuous development through:

  • Mandatory child protection training

  • Digital privacy and communication training

  • Scenario-based safeguarding workshops

9. Monitoring & Enforcement

  • Regular audits of sessions and communications

  • Feedback channels for students and parents

  • Immediate investigation of violations

Failure to comply may result in:

  • Suspension

  • Termination

  • Legal escalation where applicable

10. Parental & Student Rights

Students and parents have the right to:

  • Safe, respectful learning environments

  • Transparency in communication

  • Access to their data upon request

  • Report concerns without fear of retaliation
